7. What's Your Exit Plan If This Doesn't Work?

The concept: Knowing how you'd wind this down protects you from sunk-cost decisions six months from now.

Every vendor assumes you'll stay. Their contracts, their onboarding investment, and their support model are all built on that assumption. You need to assume there's a real chance this doesn't deliver what it promised — because that's statistically the more likely outcome on first implementation — and plan accordingly.

This means understanding contract termination terms, data portability (can you get your data back, and in what format), and what retraining or transition costs look like. A healthcare staffing company locked into a two-year AI scheduling contract discovered the tool didn't handle their state-specific compliance requirements. Getting out cost them more than staying did.

Your rule of thumb this week: Ask the vendor three specific questions: What are the contract exit terms? Can we export all our data at any time, and in what format? What does offboarding support look like? If any of those questions produce evasion or a "we'll get back to you," slow down.

A pilot program at reduced commitment, a monthly contract for the first 90 days, or a structured team input session pre-launch can resolve both.

If you couldn't clearly answer more than three of the seven questions, you're not being indecisive — you're being accurate. You need four to eight weeks of internal preparation before any vendor conversation becomes productive.

Common Traps to Avoid

Trap 1: Buying the demo, not the tool. Vendor demos are optimized environments. The data is clean, the use case is cherry-picked, and someone practiced that walkthrough 200 times. The trap is evaluating the demo experience rather than asking how the tool performs on your data, with your team's workflows. Sidestep it by requesting a pilot on a real slice of your own data before full commitment.

Trap 2: Letting urgency override readiness. "Limited onboarding windows" and "pricing changes next quarter" are standard sales pressure. They might occasionally be true. More often, they're designed to compress your evaluation timeline before you've asked the hard questions. If a vendor won't give you three more weeks to complete an honest internal assessment, you've learned something useful about how they'll treat you post-sale.

Trap 3: Confusing a good tool with a good fit. A tool can have excellent reviews, a strong customer list, and credible technology — and still be wrong for your situation. The mistake is evaluating tools in isolation rather than evaluating tools against your specific readiness gaps.
