If you're a product or e-commerce business drowning in customer service volume, your first AI investment should be a customer-facing chatbot or ticket triage tool. The ROI is direct and measurable: handle rate, resolution time, tickets deflected. Start with tools that natively integrate with whatever you already use for support — Zendesk, Gorgias, Freshdesk — rather than a standalone AI platform that adds a new system to manage.

If your core problem is internal — team coordination, project tracking, document management — hold off on AI-specific tools for now. Your constraint isn't AI capability; it's that your underlying processes aren't clean enough for AI to improve. Spend 60–90 days tightening your operational foundation first. If you've already bought an AI tool and it's sitting unused, don't buy another one. Go back to point five above: assign an owner, set a 30-day usage minimum, define what success looks like. A tool you already paid for that's partially working is a better investment than a new one.

Common Traps to Avoid

Buying based on the demo environment, not your actual environment. Vendor demos use clean, preloaded data and controlled integrations. Your data is messier. Your tools are older. Always ask to see a use case that resembles your specific workflow, or run a trial with real data before committing.

Treating "free trial" as risk-free. Free trials are low financial risk but high time risk. If your team spends three weeks evaluating a tool that isn't right, that's real capacity lost. Before starting a trial, define the two or three specific outcomes that would make you sign. If you can't name them, you're not ready to evaluate.

Signing annual contracts before validating fit. Vendors push annual pricing hard because the discount looks significant. But a 20% discount on a tool that doesn't work is still money wasted. Push for monthly billing through at least the first 60 days, even if it costs more upfront. The optionality is worth it.

Assuming the vendor's customer success team is your IT department. Some vendors are genuinely excellent at handholding non-technical customers. Many are not, and you won't know which until after you've signed. Test support before you buy, not after. See point two above.
